Why every web agency needs a team password manager

Client logins are the keys to your clients' businesses. Here's why spreadsheets, chats and personal password managers stop working once you have a team.

Scattered sticky notes and chat bubbles turning into one locked vault

When an agency is two people, passwords live wherever is quickest. By the time you're five or ten people with fifty clients, "wherever is quickest" has become a real risk. Here's why a team password manager pays for itself.

You hold the keys to other people's businesses

A hosting login can take a client's website offline. A domain registrar login can move their domain. A Cloudflare login can redirect their email. If one of those leaks from your agency, it's your client who pays first, and your reputation right after.

Spreadsheets and chats don't forget

A spreadsheet gets shared by link, downloaded and attached to emails. A password pasted into chat stays searchable for years, by anyone who's ever been in that channel. Neither tells you who looked at what, and neither can take access back.

Personal password managers aren't built for clients

Most password managers are made for one person's accounts, with a team plan added on. Agencies need something different:

  • logins organised by client and website, not in one long list;
  • access per client, so a freelancer working on one site sees only that site;
  • a way to ask clients for their logins without email;
  • a record of who opened which login, for when a client asks.

ClientKeeps is built around exactly that.

It's faster, not just safer

The usual objection is speed. In practice, a good vault is quicker: search finds any login in a second, copy buttons fill the clipboard and clear it after a short while, and two-factor codes are right next to the password. No more "who has the FTP password for this one?"

Offboarding becomes a checklist

When someone leaves, you can see every login they could open and change the important ones first. Without a vault, you're guessing.

Clients notice

Agencies that handle passwords well win trust. Sending a client a secure request link instead of asking them to email a password says, in one step, that you take their business seriously.

What to look for

Whatever you choose, look for:

  1. End-to-end (zero-knowledge) encryption: the provider can't read your logins.
  2. Two-factor sign-in for everyone.
  3. Per-client access and time-limited sharing.
  4. An audit log that can't be quietly edited.
  5. Import from what you use today.

ClientKeeps does all five. Create a free workspace and move your first client in today.
